Updated Cancellation Terms to Help with the Difficult Travel Circumstances
Due to the developing situation of the Coronavirus, we are amending our cancellation policies with effect from today. We aim to reassure all our guests with new flexible, transparent and fair terms to help you make important travel decisions.
We are offering a more relaxed policy with options and credits for tours (rather than full cancellation penalties) to transfer your bike tour to a later date.
Credits are valid for bookings made until 31 December 2021, allowing you to also book for 2022 tours, giving you time to successfully postpone a trip (see terms below).
For our self-guided Spain bike tours we have changed our balance due date to 35 days before the start date, with the option to postpone your trip with no penalty, as described below.
Our goal is to provide you with the flexibility to make an informed decision in these challenging times.
Being a local tour operator, we appreciate how trying this situation is for everyone with this affecting all communities worldwide, yours and ours. The knock-on consequences to our local communities (family run hotels, restaurants, support staff etc) will be difficult and so we are offering options to re-book in the future . We are currently adding extra dates to our tour schedule for the end of this year, 2021 and 2022 to offer even more options to enjoy cycling in the near future.
The safety of our guests and teams are always our highest concern and we are working hard to react and adapt to this fast-moving situation. We appreciate your patience and understanding as we maintain a policy of being responsive to all concerned.
We have been operating cycling holidays for nearly 20 years and have successfully weathered previous world and financial crises. We look forward to continuing to offer our bike tours in the coming years.
Are Cycling Country Tours Running?
We continue to monitor the World Health Organisation (WHO) and the local government agencies for all countries we visit. We take advice from these sources and act accordingly.
Currently, all our tours are suspended until 26 April 2020. Due to recent changes in government policies, we are postponing all departures leaving on or before 26 April 2020. We will contact all booked guests in this period to provide further details about alternative arrangements and options.
We will make evaluations about additional future tour suspensions in the coming days and weeks.
Keeping you Safe on our Tours
We are providing advice to our tour leaders so they can be vigilant about potential exposure to the virus for our guests and themselves. They are aware of the symptoms and of the standard protective measures, should they be required.
We will cancel or amend trips if required to ensure your safety, and will contact you to offer alternative options.
What are your Cancellation Terms?
To remain flexible, we have changed our cancellation policies to reflect new, easy and transparent cancellation terms for any new tours booked from today. This reduces your risk and allows you to cancel with relaxed conditions. Different terms apply to different tour types:
FOR SELF GUIDED TOURS IN SPAIN
We have changed our balance due date from 65 to 35 days for increased flexibility, and we are offering the chance to postpone a tour to a later date if before 35 days with no penalty.
If you wish to cancel your holiday, this must be in writing by the person who signed the booking form and whose name is on the invoice.
The following updated cancellation and booking terms apply as below.
(i) More than 35 days before departure date: deposit can be credited for any future tour booked with us (valid until 31 December 2021), or deposit 100% refunded minus an admin fee of €50 per person per tour. (Custom tours and upgraded hotel routes, please contact us for alternatives).
(ii) Final balance is due 35 days before the departure date.
(iii) 14 to 35 days before the departure date: 50% of holiday price can be credited for any future tour booked with us, valid until 31 December 2021
(Custom tours and upgraded hotel routes, please contact us for alternatives).
(iv) Less than 14 days before departure date: 100% of the holiday price is non-refundable.
FOR ALL OTHER TOURS
If cancelling before 65 days, there is the option to postpone tours for another date minus a small fee of €100, subject to the terms below.
If cancelling between 30-65 days, a small fee of €150 is charged to postpone the tour to offset non recoverable local operator costs (as opposed to losing 50% of your money).
If you wish to cancel your holiday, this must be in writing by the person who signed the booking form and whose name is on the invoice. The following updated cancellation and booking terms apply as below.
(i) More than 65 days before departure date: deposit can be credited for any future tour booked with us (minus a small fee of €100 per person per tour) valid until 31 December 2021, or deposit is non-refundable (N.B. custom, private, UK, France, self guided Portugal, Canada and La Vuelta tours, deposit is non-refundable).
(ii) Final balance is due 65 days before the departure date.
(iii) 30-65 days before departure date: 100% of holiday price can be credited for any future tour booked with us (minus a small fee of €150 per person to offset non recoverable local operator expenses) valid until 31 December 2021, or receive 50% refund of holiday price.
(iv) Less than 30 days before departure date: 100% of the holiday price is non-refundable.
Should I Travel?
Our advice is that each guest’s decision on whether to travel is their own. While we are happy to answer questions, inform and share updates from health authorities, we recommend that before you travel:
• consult your own medical doctor if you have any doubts about your health and risk profile
• check with your travel insurance company to see what is covered regarding travel and medical insurance in respect to Coronavirus. Policies are adapting as the situation develops.
